How a custom trip is created, step by step

I get asked often what it's actually like to work with a custom-trip planner. Do you need to already know where you're going? Do you book everything yourself? It's one of the most misunderstood parts of what I do.

A lot of people hesitate, picturing something complicated or impersonal. The reality is much simpler, and collaborative. Here's how a custom trip comes together with me, from our first call to your return home.

Step 1. The discovery call: getting to know you

Everything starts with a free call, not a sales pitch in disguise. My goal: to understand you, how you travel, what you're dreaming of, and what a successful trip looks like for you.

  • Your dates, or your flexibility if you don't have any yet
  • Your rough budget, for realistic options
  • Your travel style (comfort, adventure, slow-paced or jam-packed...)

Destination in mind or no idea where to start: that's exactly what this step is for.

Step 2. Proposing the destination and the trip's shape

Once I have a clear picture of you, I come back with a proposal: confirming your chosen destination, or suggesting one that matches what we discussed.

No detailed itinerary yet at this point: I propose the big shape, time per region, the overall pace. It's the skeleton of the trip, before the details.

Step 3. Building the detailed itinerary

This is where most of the real work happens, often over several days: matched accommodations, activities that make sense for you, smooth transport, day by day.

  • Accommodations chosen one by one, not pulled from a generic catalog
  • Activities that reflect your actual interests
  • Routes and connections planned to keep logistics stress-free

It's more stitching than assembling bookings: each choice has to make sense within the whole trip.

Step 4. Revisions: adjusting until it truly fits

I send you the complete itinerary, and it's your turn to look it over. Adjustments here are normal: a stop that doesn't excite you, a pace that feels packed, an accommodation that isn't quite right. Nothing went wrong, it's simply part of the process.

We go back and forth, I adjust, until the itinerary truly feels like yours.

Step 5. Finalizing and booking

Once approved, we move to booking: flights, accommodations, activities, transport. I coordinate everything, and you receive a complete travel folder: confirmations, schedules, addresses, contacts.

No more juggling fifteen browser tabs, it's all already gathered.

Step 6. Support during the trip, not a goodbye at departure

My role doesn't end when you leave. I stay reachable throughout the trip, for a question or the unexpected. Knowing there's someone to reach out to makes all the difference.

Step 7. After the trip: a debrief, and often the start of the next one

When you're back, we debrief: what you loved, what you'd change. This is often when we start talking about your next trip.
